What information is being collected?

Customer names, postal addresses, email addresses, telephone numbers and vehicle details

Who is collecting it?

Office staff and technicians

How is it collected?

By phone, in person or by email

Why is it being collected?

To enable us to carry out our work as efficiently as possible and to keep the customer updated with progress as work is carried out

To invoice and send estimates

To send reminders for MOTs, brake fluid services and aircon regas servicing

How will it be used?

Held electronically in our shared office diary

Held electronically in GA4, our garage software program

Held electronically in Quickbooks, our accounting software

Held manually on job cards

Who will it be shared with?

No one

When is it disposed of?

All hard copy job cards are securely destroyed within 3 months (kept electronically only after that)

All customer details except name are deleted from GA4 if the customer has not been invoiced for over 3 years

All customer details are deleted from Quickbooks after 7 years
(to comply with HMRC requirements)
